1. Activating via Email or SMS Invitation
If your employer has your email address or mobile phone number on file, you will receive an invitation email or an SMS message containing a "Join now" activation link.
Step-by-step instructions (Mobile & Desktop):
- Open your email inbox or SMS messages and click on the activation link in your notification.
- Your default internet browser will open, and you will be prompted to choose a secure password. (Note: If your company uses Single Sign-On (SSO), you may bypass this step and be prompted to log in with your existing company credentials instead).
- Note: If you already have a Speakap account tied to this primary email address, please select the "I already have an account" option instead.
- After registering your account, you will be automatically logged in.
App Download: If you are activating on an Android or iOS device, you will be prompted to download the app. For an optimal experience, we highly recommend downloading the official mobile application from the Google Play Store or Apple App Store. We include links to these apps in the welcome email you’ll receive after activating your account.
2. Activating via Automated HR Data (User Sync) or SSO
Depending on your company's technical setup, your account might be pre-configured using data from your HR Information System (HR-IS) or linked directly to your existing company logins.
- HRIS User Sync: Your organization may automatically set your username and temporary password based on your HR data. For example, your username could be your Employee ID, and your temporary password might be your last name. Please check your company's onboarding documents to confirm your specific login format.
- Single Sign-On (SSO): You may be required to insert SSO credentials (a username and password) that your company has already provided for other software solutions. Simply enter your email or username on the Speakap login page, and you will be redirected to your company's secure login screen.
3. Activating via Printed Invitation (No Email or Mobile Number)
If your employer does not have your email address or phone number, or is not allowed to share it with us, you will receive a printable invitation letter containing all the information needed to activate your account.
Step 1: Activate your account
- On your computer or mobile phone, open your internet browser and navigate to the website mentioned at the bottom of your invitation letter.
- In the Username field, fill in the Username provided on the letter.
- In the Temporary password field, fill in the Temporary password provided on the letter.
- If prompted, accept the Terms and Conditions that apply to your network.
- Click on the Activate your account button.
Step 2: Complete your profile
- Check your first and last name and update them if the information is incorrect.
- Add a strong password to your account. Your password must meet the following requirements:
- At least 10 characters long
- Contains at least one uppercase and one lowercase letter
- Contains at least one digit or special character
- Repeat your password to confirm it.
- Click on the Complete my profile button.
Step 3: Enable self-service recovery Finally, we highly encourage you to enable self-service recovery by providing us with your personal email address. If you forget your password in the future, having an email on file allows you to easily send yourself a password reset link.
- If you do not wish to provide an email address, you can skip this step by clicking "Not right now".
4. Password Reset for Printed Invitations
If you forget your password and did not link an email address to your account during step 3, you cannot reset your password yourself.
How to regain access:
- You must ask your manager or network administrator for a new password reset letter.
- Once you receive the letter, go to the login page of your Speakap network.
- Enter the Username and the new Temporary Password mentioned in the reset letter.
- Click Login.
- You will immediately be prompted to create a new, strong password (following the 10-character requirements listed above) before you can continue to your timeline. Click Reset password to finish.
