1. Activating via Email or SMS Invitation
If your employer already has your corporate or personal email address or mobile phone number on file, the system will automatically route a secure activation notice to you containing a personalized "Join now" link.
Step-by-step instructions (Mobile & Desktop):
- Open your email inbox or mobile SMS messages and click directly on the activation link.
- Your default internet browser will open, and you will be prompted to create a secure password.
- After saving your new password, the system will automatically log you into your new timeline.
Note: If your company utilizes Single Sign-On (SSO), your activation link may bypass the password configuration page and redirect you straight to your standard corporate identity provider page instead.
If you already have a pre-existing Speakap account linked to this explicit email address from a previous location, select the "I already have an account" option on screen to link them.
Download the Mobile Application
If you are running through this process on a mobile phone, you will be prompted to download the native app. For an optimal experience, we highly recommend downloading the official mobile application from the Google Play Store (Android) or Apple App Store (iOS). Direct links are also included in the automated welcome email routed to your inbox immediately after activation.
2. Activating via Automated HR Data (User Sync) or SSO
Depending on your company's internal IT architecture, your account might be pre-configured using data from your HR Information System (HRIS) or linked directly to your existing active corporate logins.
- HRIS User Sync: Your organization may pre-generate a username and temporary password combination strictly based on your HR record. For example, your username could be your numerical Employee ID, and your temporary password might be your Last Name in lowercase. Please reference your internal company onboarding paperwork to verify your format.
- Single Sign-On (SSO): You may be required to insert the exact corporate credentials (username and password) that your company uses for other cloud solutions. Simply enter your email or username on the primary Speakap login screen, and our system will instantly route you to your company's secure identity portal.
3. Activating via Printed Invitation Letter
If your employer does not utilize digital contact information for front-line provisioning or is restricted from sharing your digital details, you will be handed a physical, printed invitation letter containing unique, temporary login credentials.
Step 1: Initialize account activation
- Open an internet browser on your computer or mobile phone and navigate to the exact web address printed at the bottom of your invitation letter.
- In the Username field, type the username provided in the letter.
- In the Temporary password field, input the case-sensitive temporary password provided in the letter.
- If prompted, review and accept the Terms and Conditions that apply to your network.
- Click Activate your account.
Step 2: Complete your profile
- Check your displayed first and last name; correct any typos if the structural data is wrong.
- Create a permanent, strong password for your account. Your password must meet the following security complexity parameters:
- Minimum of 10 characters long
- Contains at least one uppercase and one lowercase letter
- Contains at least one digit or special character (e.g., !, @, #)
- Re-type your password to confirm it, and click Complete my profile.
Step 3: Enable Self-Service Password Recovery
We highly encourage you to input your personal email address during this final step. Providing a valid verification email ensures you can utilize the self-service recovery system to send yourself automated password reset links if you are ever locked out in the future.
If you do not want to provide an email address, click "Not right now" to bypass this step. Your profile setup is now complete.
4. Password Reset for Printed Invitations
If you activated your account using a physical letter and chose to skip adding a personal recovery email during Step 3, you will be unable to reset your password independently if you forget it.
How to regain network access:
- You must request a new password reset letter directly from your local manager or network administrator.
- Once you receive the paper document, open your company's Speakap login page.
- Enter your standard Username and the new Temporary Password provided in the reset letter.
- Click Login.
- The system will immediately intercept your session and force you to create a new, strong password matching the 10-character complexity rules before letting you access your main timeline feed. Click Reset password to finalize your access recovery.
