How to change a user's username or primary email address?

"When we change a user's email address or username in our HR system, will it also automatically change in the Speakap network?"

The answer depends on how the user authenticates their account. The first step is to check if the user has an SSO account or if they log in via the alternative (standard email and password) way.

2. Users with an SSO account

For networks utilizing Single Sign-On, the update process is fully automated.

  • Action Required: Simply update the user's Identity Provider (IDP) login details within your Identity Provider and HR source system.
  • Result: The change will automatically be reflected in the Speakap network during the next scheduled User Sync. The user will then login with the updated username. It's that simple!

3. Users with an alternative login

For users who log in using a standard Speakap username/email and password, credential changes do not sync automatically from the HR system. You have two options to update their details:

  • Option A (Self-Service): You can provide the user with instructions to manually change their email address themselves through their Personal Settings.
  • Option B (Speakap Support): If you prefer to handle it administratively, you can reach out to our Support Team at support@speakap.com. Please provide both the old and new email addresses for the user, and we will process the update for you.

Note: for non-activated user accounts in a network with User Sync, a change in the HR source system will result in an updated email address to be invited. The old email address will disappear.

Note 2: for activated user accounts in a network with User Sync, a change in the HR source system will result in a secondary email address to be added to the user account. The old email address will remain the username. The user can change the username to become their new secondary email address.
