1. For networks using an automated HR system (User Sync)
If your organization uses an automated integration with an HR Information System (HRIS), your Speakap invitation is automatically sent to the email address that HR has on file for you. To change where the invitation is sent, the source data must be updated.
- Self-Service HR Update: Depending on the specific HR system your company uses, you may be able to log in to your employee portal and update your preferred contact email address yourself. Once you submit this change and HR approves it, the new email address will automatically sync to Speakap, and a new invitation will be generated. Note: this only works if you haven’t already activated your account
- Contacting the HR Department: If your company does not offer a self-service portal, you must contact your HR department directly. Request that they update your primary email address in the HR system. Once they make the change, the User Sync will update your Speakap profile and trigger a new invitation. Note: this only works if you haven’t already activated your account
2. For networks managed manually
If your organization does not use an automated HR integration, your network administrators or local managers handle invitations manually.
- The Solution: You will need to contact your manager or network administrator and provide them with your preferred email address.
- What the admin will do: The administrator will need to locate your pending profile in the network's user list, remove the current (incorrect) email address, and manually send a new invitation link to your newly provided email address.
3. Important Note on Existing Accounts
If you have already clicked "Join now" and successfully activated your account using the original email address, you no longer need a new invitation. Instead, you can simply log in to Speakap and update your email address directly from your Personal Settings within the app. Follow this article on how to do this.
