Securing Your Account Against Unauthorized Use

Summary: This guide is for anyone who suspects someone else is using their Speakap account. It explains how active login sessions work, how to review where your account is logged in, and how to log out devices you don't recognize using the desktop web version.

1. Understanding active login sessions

Whenever you sign into Speakap from a new smartphone, laptop, or workplace computer, our servers create a unique login session. This session keeps you logged in so you don't have to enter your credentials every single time you pull out your phone or check a task list.

If an unauthorized person manages to access your profile, their device will show up as an active session on your account.

Desktop only: to view, audit, or end active login sessions, you must use the desktop web version of the platform. Active session management is not available in the iOS and Android mobile apps.

2. How to review and remove active sessions

If you notice strange Feed activity or suspect your account is being used without your permission, log in on a computer and follow these steps to disconnect untrusted devices:

  1. Open your computer web browser and go to your company's Speakap network.
  2. Click your avatar in the top-right corner of your screen, then the gear wheel (Settings), then Personal Settings.
  3. In the left-hand navigation column, click on Security.

  1. Review the list of active devices and sessions displayed under the Login location section.
  2. Hover your mouse cursor over any suspicious, old, or unrecognized login session rows. An X delete icon will appear on the right side of that row.
  3. Click the X to remove that session.

The server will instantly invalidate that specific session, logging the targeted device out of your profile in real time.

3. What to do right after removing a session

Ending a rogue active session is an excellent immediate defensive measure, but it only cuts the active connection. If an intruder knows your password, they can simply log back in the moment you remove their session.

To fully lock down your account, take these two actions immediately after clearing out your session list:

  • Update your password: go to your account settings and replace your password immediately. Choose a completely fresh, complex password of at least 10 characters, mixing uppercase and lowercase letters, digits, and special characters.
  • Notify your admins: inform your direct supervisor or internal company network administrator that you confirmed unauthorized access to your account. This alerts them to audit background system logs or check your session details for suspicious IP activity.

Frequently asked questions

Can I view or delete active logged-in devices from my smartphone app? No. The active login session overview is only available on the web. You must sign into a desktop web browser to review and delete open sessions.

What happens on the uninvited device when I remove its session from my list? The moment you click the "X" button next to a specific login location row, that session is permanently ended on the server. The next time that specific phone, tablet, or web browser tries to load new information or open your Feed, it will be instantly sent back to the main login screen.

What if a login location lists a completely different city than where I live? Internet Service Providers (ISPs) often route mobile data networks or home broadband through distant regional data hubs. This can occasionally make your home computer or mobile device appear as if it is connecting from a neighboring city or province. However, if the device type or timing looks suspicious, click the "X" to end the session immediately.

Will removing an active device session delete my chat history or task lists? No. Ending a session only logs that device out. All your chats, shared files, ongoing e-learning journeys, and personal profile data stay securely on our servers and will load again untouched the next time you log back in.
