1. Request the AI Assistant
The AI Assistant is a specialized feature and cannot be switched on from your standard settings. To get started, contact your Customer Success Manager at csm@speakap.com.
Because artificial intelligence involves specific data processing and legal considerations, enabling the feature may require a new contract or a signed change form. This makes sure your organization has fully reviewed and accepted the AI Terms & Conditions before the assistant goes live on your network.
2. Share the configuration details
Once the legal and contractual steps are complete, the Speakap team needs the following details to set up the assistant for your brand:
- Name: what would you like to call your AI chatbot? For example "Speakie", "HR Helper", or a name that fits your company culture.
- Avatar: a profile photo or icon that users see when chatting with the assistant in their private messages.
- Assistant's bio (optional).
- General company information: what the company does, its mission and values, who the CEO is, and so on.
- Welcome message: the first greeting a user sees when they open a chat with the assistant. Example: "Hi, I'm [Assistant's name], ready to help you find information quickly and easily."
- Rules and boundaries: specific instructions on what the chatbot should or should not do. For example "Do not provide legal advice" or "Only answer questions based on the Knowledge Base".
- Communication style: the tone of voice you want the assistant to use.
3. How the AI Assistant works
Once enabled, the AI Assistant sits at the top of a user's chat list. It answers questions by drawing information directly from your network's Knowledge Base. If a user asks a question that is not covered in your Knowledge Base, the assistant will say it cannot find the answer.
