For companies who have a centralized database of their employees, the User Sync will be all they need to manage the users in their Speakap network. For those who don’t have such a database, or those who have a lot of franchises, it might not be possible to rely on a centralized database. In those cases, we offer a solution that allows you to decentralize the user management within the network.
Configuring the role
If you want your Business Unit or Local Department administrator to be able to use this feature, you will need to assign the correct permission to their role. You can do this by going to our Roles section in the Network admin:
- Go to Network settings
- Open the Roles section
- Open the role you would like to edit, or create a new role
- Go to the Network Settings tab
- Enable the Manage users and invites within managed organisational groups permission
- Save the role
- Assign the role to the right user(s)
Managing your organisational groups
Once the Business Unit or Local Department administrator has this permission, they will be able to add new users to their Business Unit or Local Department via email. Next to this, they will also be able to remove the members of their Business Unit or Local Department from the network.
Inviting new users
You can invite new users directly to your Business Unit or Local Department from the admin section of your group:
- Go to your Business Unit or Local Department settings
- Go to the Invitations section
- Click on the Invite button
- Add the email address of the user(s) you want to invite
- Select the desired Business Unit and/or Local Department(s) to add the user to
- Optionally add a personal message
- Click on the Invite button
Note: With this permission, these administrators will be able to invite new users to the network. This means that those users invited will be able to see the messages posted to the entire network as well.
Removing users
There comes a time when an employee leaves your company, and you no longer want that user to have access to the messages on Speakap. This is when you need to remove this user from your network. When removing a user from your Business Unit or Local Department, you will see two options:
- Remove from Business Unit
Removes the user from your Business Unit, but does not remove the user from the entire network. This means that the user will still be able to read all messages on the network timeline and any other groups that the user is a member of. - Remove from network
Removes the user from the network. This means the user will no longer be able to login to your network.
