An important part of the Speakap platform is the ability to brand your network in your own corporate branding, which makes it recognisable and feel secure for you and your employees.
In the Branding section of our Network settings, we allow you to change the colors, favicon, backgrounds and logos of your network. But if you have multiple brands in your company, or operate in different markets with different branding per market, a single theme might not suffice for you.
To make sure that all your employees can use the Speakap platform with the right branding applied, we offer the option to create multiple themes within your network and assign them to individual Business Units and Local Departments. Members of these Business Units and Local Departments will see the Speakap network in the branding that feels familiar and safe to them.
Branding settings
The Branding section of the Network settings allows you to create and manage the themes within your network. In this section you can create new themes, search for the themes within your network and edit or manage your existing themes.
Creating a new theme
To create a new theme, you can click on the New theme button from the branding settings. A pop-up will allow you to configure your new theme’s individual settings. You can save your settings at any time by pressing the Save button.
Since there are quite some settings to configure, we've separated the theme creation into several tabs. Below you can find an overview of each individual tab and what you can configure in them.
The General tab will allow you to set the following details:
- Theme name: The name of you theme as it’s shown in the Branding section. This name must be unique and can’t be empty.
- Network logo: Will be shown in the login section and when identifying your network.
- Favicon: Will be shown in tabs, bookmarks and elsewhere.
The Colors tab will allow you to set the colors for the following elements:
- Header color: The color of the top navigation bar.
- Button color: The color of the buttons throughout the platform, ranging from the login button to the save theme settings button.
- Link color: The color for text links within updates, news items, events, comments and private messages within your platform.
You can use the “Reset to system defaults” option, to reset any custom colors set to the default Speakap colors.
The Background tab will allow you to set a background image to your network. You can either select one of the default backgrounds, or upload your own custom background.
When uploading a custom background, please upload one that is at least 1440 by 900 pixels or has a 16:10 ratio to support the most common screen resolutions.
You can use the “Reset to system defaults” option, to remove any custom background from your network, and set the background to the default gray color.
The Login tab will allow you to set multiple backgrounds to your login page. You can either keep the default login backgrounds, or upload four custom backgrounds.
When uploading a custom login background, please upload one that is at least 1440 by 900 pixels or has a 16:10 ratio to support the most common screen resolutions.
You can use the “Reset to system defaults” option, to remove any custom background from your network, and set the background to the default gray color.
Since we can’t determine which theme applies to a user who is not yet logged in, we will always show the default theme on the login pages.
The Covers tab will allow you to upload a default cover image, that will be applied to a group, profile, news item or event if no custom cover image has been provided for that specific item.
When uploading a custom cover image, please upload one that is at least 1200 by 400 pixels.
You can use the “Reset to system defaults” option, to remove any custom cover image you uploaded and set them to the default Speakap cover images.
The Assign theme tab will allow you to assign your theme to one or multiple organisational groups within your network.
Each member of a group that has a theme assigned to it, will see your Speakap network in that specific theme.
There are some limitations to assigning themes that you should be aware of:
A group can only have a single theme assigned to it
Since we can only show a single theme to a user, we don’t allow you to assign multiple themes to a single group. If you try to assign a theme to a group that already has a theme assigned, we will give you the option to override the previous assignment.
It’s not possible to assign a theme to a child group if it’s parent already has a theme assigned to it
If a Business unit already has a theme assigned to it, assigning a theme to a Local department within that Business unit would lead to a conflict. A member of that Local department would have to see two different themes. Therefore it’s not allowed to assign a theme to a Local department in this scenario.
Groups without custom theme will be assigned to the default theme
If no theme has been assigned to a group, its members will see the default network theme.
Conflicting assignments will fallback to the default theme
If a user has multiple group memberships with each their own theme, we will show the default theme to this user.
Managing themes
For each theme within your network, there are several actions you can perform. This means that any administrator with access to this section, can perform these actions on every theme.
Duplicate theme
If you duplicate a theme, you will create a copy of all that themes settings, with the exception of the assigned groups. You can use this to quickly create a new theme that is based on an existing theme.
When duplicating a theme, you are prompted to add a name to that theme. Please note that the name of the theme should be unique to prevent any conflicts and confusion.
Edit theme
This option allows you to change each individual property of a theme. Please note that upon saving these changes, they will be visible to every user who sees that theme.
Delete theme
If you no longer require this theme, you can delete it.
If there are still groups assigned to it, you are asked to migrate these assigned groups to another theme.
