Article summary: By default, certain personal details are visible on user profiles to promote connection. This guide explains how Network Administrators can globally hide users' primary email addresses and manage birthday visibility settings for the entire network.
1. Hiding primary email addresses globally
As a standard platform setting, a user's primary email address is displayed openly on their profile page. If your organization's privacy guidelines require these to be kept confidential, Network Administrators can disable this visibility network-wide.
To hide the primary email address for all users across the network:
- Log into your network on your browser.
- Click on the gearwheel icon in the top right corner to access settings.
- Click on Network Settings.
- Select Preferences from the left-side navigation menu.
- Locate the Privacy Settings section and switch off the email visibility function.
The change will take effect across the platform immediately.
Note: This setting only hides email addresses from standard colleagues. Network Administrators will always be able to view user email addresses via the user management console for administrative and provisioning purposes.
2. Individual user controls
If you choose to keep email addresses visible by default on a network level, individual employees still retain control over their personal information. Users who prefer to keep their details private can choose to hide their own email addresses or birthdays manually through their individual account setups.
3. Managing birthday visibility
If you want to hide birthdays, or specific parts of birthdays, such as the birth year, globally across your entire corporate network, this cannot be toggled directly from the admin preferences menu.
To adjust or restrict birthday visibility network-wide, please contact the Speakap Support Team directly at support@speakap.nl. Our team will configure the visibility parameters from the backend according to your organization's specific preferences.
