1. Profile and Cover Images
You can update your personal profile picture and background banner by clicking your name from the profile dropdown menu in the top right corner of the screen.

Profile Image: Click on the circle in the center of your profile page to upload a picture.
- Requirement: Must be at least 250x250 pixels.

Personal Cover Image: Click the camera icon in the top right corner of the default banner.
- Requirement: Must be at least 1120x400 pixels.

News Update Cover Image: When drafting a News Update, click the camera icon in the top right corner of the editing screen to add a header banner.
- Requirement: Must be exactly 490x175 pixels.
Note: If you attempt to upload a personal profile or cover image that falls below the minimum required resolutions, an error message will display in the top right corner of your screen blocking the upload.
2. Supported File Formats
Speakap supports a wide range of media and document formats across Updates, Events, News, Pages, Journeys, and Tasks.

Images: JPEG, JPG, PNG, and GIF.
- Unsupported: SVG, HTML, and other web code formats are not valid for image fields.

Videos: AVI, Flash Video (.flv, .f4v), Matroska (.mkv), MPEG-1, MPEG-2, MPEG-4 (.mp4, .m4v), MPEG-PS, QuickTime (.mov), WebM, and Windows Media (.wmv).
- Unsupported: 3GPP (.3gp), 3GPP2 (.3g2), and DV (.dif, .dv).
- Documents/Files: PDF, XLS, and DOC.
3. File Size and Upload Limits
To maintain optimal platform performance, your uploads must adhere to the following file size restrictions:

Tip: For large video files, use a video compressor to reduce the file size before uploading. This speeds up both the upload and the system's background transcoding processes without losing visible quality. It’s also better for the users watching videos.
4. Troubleshooting Media Issues
- Video fails to upload or play: If your video meets the file size and format requirements but won't load, verify your internet connection stability and give the platform 30-60 minutes to complete the background transcoding process. The larger the video file the longer the processing time takes. If the issue continues, email support@speakap.com with the video file and a screenshot of the error.
- Video is not embedding as a player: Speakap uses Embed.ly to handle embedded external media. To support an active embedded player rather than a static thumbnail preview, the video hosting platform must be registered as an official provider at embed.ly/providers/new. This is relevant when you are using a link to a video (for example a Youtube link).
