Users logging in via SSO (Single Sign-On)
If your organization uses Single Sign-On (SSO) for authentication, the process is fully automated.
- Action: Update the user's login email address in your source HR system or Identity Provider (IDP).
- Result: The new email address will automatically synchronize to Speakap during the next scheduled User Sync. No further action is required from you or the user. The user will need to login with that new email address as username.
Users logging in without SSO (Standard email and password)
If your organization does not use SSO, the system's behavior depends entirely on the user's current activation status.
Scenario A: The user has not yet activated their account
- Action: Update the email address in your HR system.
- Result: Once the next User Sync runs, Speakap will detect the change and automatically send a brand new invitation email to the updated email address. The user can then click the link to activate their account.
Scenario B: The user has already activated their account
If the user has already activated and logged into Speakap using their old email address, changing it in the HR system will not automatically update their login email. You must choose one of the following two options to update it:

Option 1 (User Self-Service): The user can manually update their email address from within their own account. You can share this guide with the user so they can follow the steps.
- Important Note: The user must be logged into the web browser version of Speakap to update their email address; this action cannot be performed from the mobile app.
- Option 2 (Speakap Support): If you cannot have the user do it themselves, our team can process the change for you. Please email support@speakap.com and provide both the user's old email address and their new email address.
