Staying consistent with your internal communication is key to a highly engaged network. However, we know that timing can be tricky. You might need to share an announcement on Monday morning when you’re already out of office, you may be dealing with a workforce in different time zones, or preparing to hand over a weekend shift with an update to go live bright and early on Saturday morning.
Scheduling updates allows you to prepare your internal communications in advance and ensure they reach your team at the most impactful moment. This guide covers how to schedule and manage a scheduled update.
How to schedule an Update on Desktop
When creating a new update, follow these steps to set a future publication time:
- Start composing an update.
- Select your audience.
- Write your update and add any media (images, videos, or files).
- Instead of clicking "Post," click the Schedule button at the bottom of the composer.
- A calendar will appear. First select a date and then the specific time you want the post to go live. You can either select a time from the pre-set 15-minute increments or input your preferred time manually. The picker follows the date and time of your current timezone, and you are allowed to schedule as far in advance as one year from today.
- Click on Save to get out of the date and time picker.
- Click on the active Schedule button to confirm.
Your update is now queued! You will receive a notification once the update has been successfully published.
How to schedule an Update on Mobile
If you are on the go, you can schedule updates directly from the iOS or Android app:
1. Tap the Compose icon to start a new Update.
2. Choose your recipients.
3. Write your update and add any media (images, videos, or files).
4. Toggle the Schedule publication switch to ON.
5. Tap the date/time field to select your preferred publication window.
6. Tap on the active Schedule button at the top to confirm.
Managing your Scheduled Updates
There is a dedicated menu item to access all your scheduled updates. Here you will be able to see all the content that is waiting to be published on your indicated date in the future, including scheduled News Items.
Need to change the timing or fix a typo before a post goes live? You can manage your upcoming content easily:
- Find your posts: Navigate to the Scheduled Posts section via the dedicated icon in the composer or find it in the main sidebar menu, or in the top navigation bar on mobile.
- Users who don’t have permission to post updates and news will not see these options.
- Edit: Select Edit at the bottom of the update to change the content.
- Reschedule: Select Reschedule at the bottom of the update to adjust the publication time.
- Disable/Enable comments and reactions: You can do this via the three-dot menu as you would normally do it in a regular update.
- Post Now: If plans change and you need the information out immediately, click the Post Now option you see at the bottom of the post.
- Delete: To cancel a scheduled post entirely, select Delete.
Note: Only the author is allowed to see and edit scheduled content. If, for any reason, they lose posting rights, the content will be deleted.
Video processing in Scheduled Updates
For larger videos, the system requires time to "process" the file. A scheduled post will only go live if the video has finished processing. This means that if a video is still processing at the scheduled time, the update will go live as soon as possible once the processing is complete. You will receive a notification once the video has been processed.
Scheduled Updates Notifications
As the post author, you will receive notifications in 3 instances:
- You will see a pop-up on your screen when the post is successfully scheduled
- If your post contains a video, you will receive a push notification when the video has completed its processing time
- You will receive a push notification when the post goes live at its scheduled date and time.
