Summary: Information changes, and older documentation eventually becomes outdated. This guide explains how to edit or delete categories, subcategories, and articles in your Knowledge Base, what happens when content loses its audience, and how cascading deletion works.
Editing a category or subcategory
Need to update a name, adjust a description, or change the settings? Easily done:
- Go to the category or subcategory and click the three dots icon in the top right corner of the header.
- The editor pop-up opens, where you can change any of the existing properties or settings.
After an edit, you can also see when the last edit was made and by whom.
"Unassigned" content: what happens when audiences shift
Changing the audience of a parent category can create visibility gaps for the content nested underneath it:
- If you restrict a category's audience and exclude the members who were the only target audience of a nested article or subcategory, that content is not deleted automatically.
- Instead, a warning icon appears next to the affected items to flag that they have no target audience and are unavailable to regular users.
- While content is "unassigned", it is completely hidden from standard users and visible only to administrators. The platform shows this status clearly so you can find and fix the audience assignment quickly.
Our recommendation: remove unassigned articles to keep the admin overview tidy.
Deleting content and cascading effects
To remove outdated material, use the same path as editing: click the three dots icon in the top right corner of the header.
The Knowledge Base uses a nested tree structure, so deleting a container also deletes everything inside it:
- Deleting a subcategory permanently removes the subcategory and all articles inside it.
- Deleting a category permanently removes the category, all of its subcategories, and every article nested across those levels.
To prevent accidents, a confirmation pop-up always appears when you click delete. You must confirm it before the content is permanently erased from your network.
