Summary: This guide is for admins who want to retire a finished Journey. Speakap currently has no Archive or End button for Journeys, so this article explains your two options and walks through the recommended workaround that hides a Journey without losing its completion data.
Why is there no Archive button (yet)
At the moment, Speakap does not have a native "Archive" or "End" button in the Journeys panel. When a Journey has run its course, you have two options:
- Permanent deletion: Remove the Journey entirely from the admin panel. Careful: this is a hard delete that instantly wipes all historical completion data and compliance records.
- Audience relocation (recommended): Change the Journey's target audience so it disappears from your employees' view, while all data stays intact.
The recommended workaround: "archiving" a Journey
You can safely hide an obsolete Journey from your employees by pointing it at a restricted admin-only group:
- Create an archive group: Make a new Private Group in your network and give it a clear name, like "Journey Archives".
- Restrict membership: Don't invite any regular employees. Add only yourself and other authorized admins.
- Open the Journey: Go to your desktop Journeys admin panel and click the Journey you want to retire.
- Change the audience: Open the options menu via the three dots (...) on the title banner, click edit, clear the original audience, and set the target audience to your Journey Archives private group only.
- Save: The Journey instantly disappears from your employees' mobile apps and desktop view. Only the admins in your archive group can still see it.
Important: what this does to your analytics
Data visibility warning: The analytics dashboard only shows progress data for users who are currently members of the assigned audience group. Changing the audience changes what you see.
For example: if 100 frontline workers completed a Journey and you move it to an archive group with only 2 admins, your dashboard immediately drops the 100 worker records and shows data for just those 2 admins. The data is not gone, it's just filtered out of view.
How to export historical completion data later
Need a completion report for the original audience after archiving? Use this temporary reversal:
- Open the archived Journey and click edit.
- Temporarily switch the target audience back to the original employee group.
- Open the Analytics tab and download the full tracking history as a CSV file.
- Once the download is done, edit the Journey again and set the audience back to your archive group.
Frequently asked questions
Will deleting an old Journey preserve my team's completion data?
No. Deleting a Journey is permanent and destroys all historical data, participant records, and analytics with it. Use the private archive group workaround if you need to keep compliance records.
Why did my analytics go blank after I archived a Journey?
Your data is not lost. The dashboard filters results based on who is currently in the Journey's audience. Since your archive group only contains admins, only their data shows. Temporarily reassigning the original audience brings the data back into view.
Can I make the archive group a Public Group?
No, make it a Private Group. A public group would let employees browse or stumble into the retired Journeys, which defeats the purpose.
