How to Get Speakap Events Added to Your Calendar Automatically

Summary: You can sync your Speakap events directly into your personal or work calendar, such as Outlook or Google Calendar. This guide shows you how to copy your unique calendar link, add it to your calendar app, and what happens if you refresh the link.

1. Copying your unique event URL

To feed Speakap events into your external calendar automatically, first copy your account's unique iCal link from the desktop browser version:

  1. Log in to the web version of Speakap.
  2. Click the gear icon in the header bar.
  3. Go to My Settings > General.
  4. Click Events.
  5. Find the Export section to see your unique URL.
  6. Click the copy button to save the link to your clipboard.

2. Adding the link to your calendar

Microsoft Outlook Calendar

  1. Open Outlook and click the calendar icon to open your schedule view.
  2. Select Manage Calendars.
  3. Click Open Calendar and choose From Internet.
  4. Paste your copied Speakap URL into the address field and click OK.

For other Outlook setups, please check Microsoft's own support documentation.

Google Calendar

  1. Open Google Calendar in a web browser.
  2. Click the plus (+) icon next to Other calendars.
  3. Select From url.
  4. Paste your Speakap URL into the field and click Add calendar.

3. Refreshing your event URL

Next to the URL copy button, there is a Refresh button. It immediately revokes your current link and generates a brand new one.

When to refresh your link

Only use this in these situations:

  • Security concerns: you suspect someone unauthorized has access to your private calendar URL.
  • Accidental sharing: you shared the link with the wrong people or posted it somewhere public by mistake.
  • Sync problems: new events persistently fail to show up in your external calendar.

What happens when you refresh

Important: refreshing has immediate, irreversible consequences for your calendar sync:

  • The old link stops working instantly.
  • You must re-add the new link yourself: copy it and paste it again into every calendar app you use (Google, Outlook, or Apple).
  • Sync stops until you do: no new Speakap events will reach your calendar until the old link is replaced with the new one.

Tip: if your calendar syncs correctly and you have no security concerns, you do not need to refresh this URL.

Frequently asked questions

Why do new Speakap events not show up instantly in my calendar?

When you add the link to Google or Outlook, your calendar app periodically checks Speakap for new events, rather than Speakap pushing them in real time. This naturally causes a sync delay.

How often does my calendar check for new events?

The sync interval is decided entirely by your calendar provider:

Calendar providerTypical sync frequencyCan you change it?
Google CalendarCan take up to 24 hours to refresh. No, this is fixed by Google.
Outlook Web App (OWA)Typically between 3 and 24 hours. No, controlled by Microsoft.
Apple Calendar & Outlook DesktopYou set the interval yourself (for example, every 15 minutes).Yes, fully adjustable in the app's preferences.
