Getting Started with Speakap

1. Technical preparation and access

Before inviting your teams, make sure the platform is fully accessible across your corporate network.

  • Whitelisting: If your organization sits behind a strict firewall or corporate web filter, ask your IT department to whitelist the necessary Speakap domains. This makes sure emails, push notifications, and media attachments deliver without problems. Learn more in here. 

2. Structuring your network organization

Building your organizational structure ahead of time creates a welcoming, relevant landing space for your employees.

  • Creating Groups: Set up separate communication spaces mapped to your organization's structure (for example locations, departments, project teams, or social interests). 3. User provisioning and access control

Once your structure is in place, you can start introducing your workforce to the platform.

  • User roles and permissions: Define administrative, content creation, and standard user roles before sending invitations. Granting the right rights to the right people protects your platform. Review the options in Creating and Managing Roles & Permissions.
  • Inviting and activating users: Send platform invitations and actively encourage your staff to activate their profiles. Guide them to add a profile picture and complete their personal profile details for a more connected digital workplace.

4. Engaging your audience with core content

A launch works best when users log in and find active, relevant content waiting for them in their Feed.

To kickstart engagement and move content over from old communication channels, pair a structured content strategy with these publishing tools:

  • News items: Use these for long-form, formal company announcements. Publishing a news item triggers a push notification to your entire target audience, so visibility is maximal.
  • Pinned updates: If you have a critical status update, policy reminder, or launch video that everyone needs to see, pin it. Pinned updates stay locked at the top of users' Feeds, so they won't get lost as new content comes in.
  • Events: Build an early calendar of upcoming team meetings, social events, or training sessions, and invite your target groups so they can RSVP right away.
