Summary: This guide is for admins who need to remove a user, either from the whole network or from a specific business unit, department, or group. It covers who has permission to do what, what the lock icon next to a user's name means, and the exact steps for each type of removal.
Who can remove whom
Before you remove anyone, check that your account has the right permissions:
- Network Administrators can remove users from the entire network, and from any individual business unit, department, or group.
- Local Managers can remove users only from the specific business unit or department they manage.
- Group Administrators can remove users only from the specific groups they manage.
The lock icon (User Sync)
If you see a small lock icon next to a user's name instead of a remove or settings button, that user is managed automatically by the User Sync connection with your company's HR or payroll system.
- Rule: users managed by User Sync cannot be removed manually inside Speakap.
- Solution: process the removal in your HR or payroll system. The change will sync to Speakap automatically during the next run.
Remove a user from the entire network
This requires Network Administrator permissions.
- Log into your company's Speakap network.
- Click the gear wheel icon at the top right of your screen.
- Select Network settings and go to the Users tab.
- Find the user you want to remove.
- Click the settings icon (a gear wheel or three dots) to the right of the user's name.
- Click Delete.
- A confirmation pop-up appears. Click Remove to delete the user from the network.

Remove a user from a Business Unit (BU)
This requires Network Administrator permissions, or Local Manager permissions for that BU.
- Log into your Speakap network.
- Click the gear wheel icon at the top right of your screen.
- Select Organization settings.
- Choose the Business Unit you want to manage (these may be labeled Divisions in your network).
- Click the Users tab within that Business Unit.
- Find the user you want to remove.
- Click the settings icon next to the user's name.
- Select Remove from business unit. (Network Admins will also see the option "Remove from network" here.)
Remove a user from a Department
This requires Network Administrator permissions, or Local Manager permissions for that Department.
- Log into your Speakap network.
- Click the gear wheel icon at the top right of your screen.
- Select Organization settings.
- Open the parent Business Unit and find the Department (these may be labeled Teams in your network).
- Click the Users tab within that Department.
- Find the user you want to remove.
- Click the settings icon next to the user's name and select the remove option. (If a lock icon is shown, the user must be removed via your HR system and User Sync instead.)
Remove a user from a Group
This requires Network Administrator permissions, or Group Administrator permissions for that Group.
- Log into your Speakap network.
- Go to the Group you want to manage.
- Click the Group settings icon (gear wheel) at the top right of the group page.
- Open the Members tab.
- Find the user you want to remove.
- Click the 'X' icon next to the user's name to remove them from the group. (If the 'X' is replaced by a lock icon, the membership is managed by User Sync and cannot be changed manually.)
