Summary: This guide is for admins and privacy or legal teams who oversee employee offboarding. It explains what happens to a former employee's content when their account is deleted, the difference between the Delete and Delete & Anonymise settings, and how to change this setting for your network.
GDPR and CCPA compliance
When an employee leaves, privacy regulations like the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA) set strict rules for retaining personal data. By default, Speakap removes an offboarded employee's personal profile information (such as email addresses, phone numbers, and profile pictures) but keeps their name attached to historical posts, so conversations keep their context.
Because keeping a former employee's name can be a legal grey area depending on your jurisdiction, Speakap offers two account deletion settings:

Note: a deleted account first goes through a 30-day suspended grace period in which it can still be reactivated, either by re-inviting the same email address or, in User Sync networks, through the XID anchor. See What happens to an account when a user is deleted.
How to change your network's deletion setting
If your legal team requires former employees' names to be fully removed, Network Administrators can change the network-wide setting in a desktop web browser:
- Log into your Speakap network.
- Click your profile avatar and go to Network Settings.
- Select Preferences in the sidebar.
- Click the User management tab.
- Under the Account deletion header, set your choice to Delete & Anonymise.
- Click Save and apply.
Warning: this change is retroactive and permanent. Switching from Delete to Delete & Anonymise acts as a global sweep. The platform will instantly and permanently anonymise all previously deleted accounts in your network's history. This cannot be undone.
How content looks after anonymisation
Even when an account is anonymised, the content the person created (such as shift logs or guidelines) often stays important to your business. Speakap keeps the content, but changes how the author is shown.
Updates, comments, and News items
For posts on the Feed and in groups, the author's name is removed and replaced with a standard placeholder showing that the original author has been deleted from the network. Your remaining employees can still read the content, while the author's identity is protected.
Private 1-on-1 chats
The 1-on-1 chat history stays available to the remaining participant, since it often contains useful handovers. The former coworker's side of the conversation is marked as a deleted account, and the chat becomes permanently read-only: no new messages can be sent in that conversation.
Group conversations
In group chats, a clear visual indicator marks any messages that were sent by the deleted employee. The remaining group members can keep chatting and sharing files in that conversation without interruption.
Frequently asked questions
If I switch to Delete & Anonymise, will my team's group chats get deleted?
No. Group chats, Feed posts, and comment threads all stay intact. Only the name and identity of the departed employee are wiped and replaced with a generic placeholder, so the surrounding conversation stays readable.
Can a manager reopen an anonymised 1-on-1 private chat to ask a question?
No. Once an account is deleted, that 1-on-1 conversation becomes a read-only archive. The remaining employee can scroll back to review old messages and file uploads, but the text entry box is removed.
How does User Sync handle these deletion settings?
User Sync follows your network's setting. If your sync processes a deletion for a departed employee, the account is handled with whichever rule (Delete or Delete & Anonymise) is currently saved under User management.
