Summary: This guide explains how to update a user's primary email address or username in Speakap. The right steps depend on one thing: does the user log in with Single Sign-On (SSO), or with a standard email and password?
1. First, check how the user logs in
A common question we get: "When we change a user's email address or username in our HR system, will it also change automatically in Speakap?"
The answer depends on how the user logs in. Start by checking whether the user has an SSO account or logs in the alternative way, with a standard email address and password.
2. Users with an SSO account
For networks with Single Sign-On, the update is fully automated.
- What you do: update the user's login details in your Identity Provider (IDP) and HR source system.
- What happens: the change is reflected in Speakap automatically during the next scheduled User Sync. The user then logs in with the updated username. That's it!
3. Users with an alternative login
For users who log in with a standard Speakap username or email and password, changes do not sync automatically from the HR system. You have two options:
- Option A (self-service): ask the user to change their email address themselves in their Personal settings.
- Option B (Speakap Support): prefer to handle it for them? Email our Support Team at support@speakap.com with both the old and the new email address, and we'll process the update for you.
Note:
- For non-activated accounts in a network with User Sync, a change in the HR source system results in the updated email address being invited. The old email address disappears.
- For activated accounts in a network with User Sync, a change in the HR source system adds the new address as a secondary email address on the account. The old email address remains the username. The user can change their username to their new secondary email address themselves.
