Summary: This guide is for Network Administrators. It explains how to control who can create direct messages and group chats, how group chat admin roles work, and how to use the Moderation Center to review and remove flagged content.
1. Controlling chat creation
By default, every employee can start a direct message or group chat with any other user. To restrict this, go to Network Settings > Moderation > Chat management and enable the setting.
Once enabled, you can control chat creation separately for each type:
- Direct Messages: Restrict which user groups or roles can start one-on-one conversations.
- Group Chats: Restrict group chat creation to specific roles (e.g., Managers or Admins only), or leave it open to all employees for peer-to-peer collaboration.
2. Group chat admins and roles
The person who creates a group chat can promote other participants to group chat admin. Admins can only be assigned after the chat exists — you cannot pre-assign this role before the chat is created.
Group chat admins can:
- Manage users: Add new participants or remove existing ones.
- Moderate the channel: Remove inappropriate messages from the chat.
- Promote others: Make other participants admins to share management responsibilities.
Important: If the creator leaves the group chat and no one else was promoted to admin, the chat is left with no admin at all. Creators should always promote at least one other admin so the chat stays manageable if they leave the group or the organization.
3. Using the Moderation Center
Speakap's Moderation Center gives network administrators centralized oversight of flagged content across the network.
- Network Admins have access to the Moderation Center by default.
- Designated Users can be granted access without full admin rights by assigning a role with Moderation Center permissions. See Creating and Managing Roles & Permissions.
When reviewing flagged content, reviewers are shown only a small context window of the conversation. This allows them to evaluate the report fairly while fully respecting user privacy. If a message violates company policy, the admin or designated user can delete the message directly from the dashboard. This message will consequently also be delated from the chat.
