Summary: Tasks has its own built-in search, separate from Speakap's main search bar — you can only find a task by searching inside the Tasks feature itself, not through the global search. This guide covers where to find task search on web and mobile, how it interacts with filters, and how results are ranked.
1. Where to find task search
On web: the search bar sits next to the filter bar, above your task list.
On mobile: the search icon sits next to the Create (+) button, at the top of the Tasks screen.
2. Searching on web
You can use the search bar together with your active filters — search looks for matches only within whatever your filters have already narrowed down.
If your search and filters together return no results, you'll see a "No results found" state with two separate options:
- Search in All tasks: switches you to the All tasks section and re-runs your search there, with your active filters stripped.
- Clear filters: removes your active filters but keeps you in your current section, re-running your search with no filters applied.
How results are ranked: Task search results aren't manually sortable — they're ranked by relevance instead, using a mix of factors:
- Whether your search term matches the task title
- Whether it matches the task description
- How many times the term appears in the task
- Typo tolerance, so small misspellings still return matches
- How recent the task is
3. Searching on mobile
Tapping the search icon searches across all tasks — you can't sort the results.
Pre-applied filters: whatever filters were active in the navigation section you searched from carry over automatically into your search. The section itself (Assigned to me, Created by me, or All tasks) counts as one of these pre-applied filters, alongside any Due date, Status, or Tags filters you had set.
- Removing a pre-applied filter: deselecting any one pre-applied filter — including the section itself — only removes that filter; the rest stay applied. When you close the search, you will go back to the view you started from.
- Filter changes made during search are temporary: if you change filters while inside search, those changes are discarded once you leave search — going back returns you to the navigation section and filters you originally had, unchanged. What happens in search, stays in search.
4. Task search is always available
Task search can't be turned off — it's on by default for everyone who has access to Tasks.
5. Task search vs. Speakap's global search
