How to get Speakap Events added to your Calendar automatically

Events can be created in Speakap. You can add these events to your calendar in Outlook or Google. To link Speakap and your calendar, you need a special URL. You can find this URL by clicking on the gear icon in the red bar in the web version of Speakap. Under the heading "My Settings", click on "General". Then go to the "Events" option.

Steps in Speakap

Under the “Export” option, you will find your unique URL. Copy this URL and add it to your Calendar.

Refreshing the Event URL

Next to the copy button, you will see the option Refresh. This allows you to generate a completely new, unique link for your calendar synchronization.

When to use this?

Only use this option in the following situations:

  • Security: You suspect that someone else has access to your personal calendar link.
  • Privacy: You accidentally shared the link with unauthorized persons or posted it in a public place.
  • Issues: You are experiencing persistent problems with syncing new events in your calendar app.
What are the consequences?

Please note: refreshing the URL has immediate consequences for your current links:

  • Old link expires immediately: The previous URL will stop working instantly.
  • Manual update required: You must manually copy the new URL and add it again to all your calendar applications (such as Google Calendar, Outlook, or Apple Calendar).
  • Sync stop: Until you have updated the link in your calendar app, no new events will be displayed.

Tip: If you have no security concerns and your calendar is working properly, you do not need to refresh the URL.


Adding to Microsoft Outlook Calendar

  • Open your mail and click on the calendar icon to open your calendar

  • Click on ‘Manage Calendars’, then ‘Open Calendar’ and finally ‘From Internet’

  • Enter the URL from Speakap here. Then click ‘OK’; your Speakap events have been added

  • Open your Google Calendar. Click on the + icon and then on ‘Subscribe to calendar’

FAQ

Why don't I see my Speakap Events immediately in my own calendar?
When you add the Speakap URL to Google or Outlook, a link is established. Your own calendar "checks" periodically if there are new events in Speakap. This does not happen instantly, but with a delay.

How often are Speakap Events updated?
This depends on your calendar provider:

  • Google Calendar: Can take up to 24 hours.
  • Outlook Web: Usually between 3 and 24 hours.
  • Apple Calendar / Outlook Desktop: You can often set this yourself (e.g., every 15 minutes).
