Using Tags in Tasks

Summary: Tags help you organize task lists and keep a clear overview of operational duties. This guide shows network administrators how to create and translate task tags, and shows everyone how to use tags to filter their task list on web, iOS, and Android.

1. Creating and managing tags (admins)

Tags make it easier to organize complex checklists. They are ideal for spotting groups of tasks at a glance, so you can categorize work by employee function, project, or theme (such as "Holidays" or "Financial").

Admin permission required: only Network Administrators can create, edit, or delete tags. The tag management page is web-only and cannot be opened from the mobile apps.

To build and manage your tag list, log in on your desktop browser and:

  1. Go to Network Settings.
  2. Click Tags.
  3. Create, search, edit, or delete tags from this page.

You can create an unlimited number of tags. To keep lists easy to scan for frontline workers, each tag has a limit of 30 characters.

2. Custom translations

To support teams working in different countries or regions, administrators can add custom translations for every tag.

When a user opens their task list, Speakap uses their personal profile language to show the right translation. If no translation exists for a user's language, the tag is shown in the default network language as a fallback.

3. Adding and filtering by tags

Once an administrator has set up the tag list, everyone can use these tags to sort through their work. You can attach tags whenever you are creating, editing, or duplicating a task.

To filter your task list by tag:

  • On the web: the tag filter dropdown sits next to the Sorting options at the top right of the main task list.
  • On Android: the tag filter is part of the Sort & Filter options panel at the top right of the screen.
  • On iOS: the tag filter is inside the Sort & Filter options menu at the top of the task list.

How do I create a new tag for our company task lists?

Log in to the web version of Speakap with a Network Administrator account, open Network Settings, and select Tags. From there you can add an unlimited number of custom tags.

Is there a maximum length for task tags?

Yes. Every tag has a limit of 30 characters, so tags fit neatly in both web and mobile task lists.

Can employees filter their tasks by tags on the mobile app?

Yes. On both iOS and Android, open your task list and tap the Sort & Filter options at the top of the screen to show only tasks with specific tags.

What happens if a tag has no translation for a user's language?

If an administrator has not added a translation for that language, the tag is shown in the default network language instead.
