Filters and Sorting in Tasks

Summary: Good task management starts with quickly finding the tasks that matter right now. This guide shows you how to navigate the Tasks layout, sort your list, apply filters from the top bar, and clear filters again.

1. Navigating the Tasks layout

On desktop, the Tasks page has a left-side navigation panel. On mobile, the same categories sit behind a view selector at the bottom of your task list — tap it to open the Select view navigation panel.

The navigation groups your tasks into three sections:

  • Assigned to me: only the items assigned to you. View everything at once, or narrow down by due date: All, Overdue, Today, Tomorrow, Upcoming, or No due date. Upcoming includes every future-dated task, including tomorrow's.
  • Created by me: the tasks you created and assigned to colleagues or teams, with the same due date views: All, Overdue, Today, Tomorrow, Upcoming, or No due date. You'll see overdue alerts here for tasks you created even when they're assigned to someone else, so you can spot work that didn't get done by its deadline.
  • All tasks: for broad oversight, split into All, Overdue, To do, and Completed. What you see here scales with your permissions: standard users see their own tasks compiled into one list, while admins see every task across the networks, Business Units, or departments they're permitted to manage. The columns adapt to your view: under Assigned to me and Created by me, the list shows a Created by column. Under All tasks, it shows an Assigned to column instead, so you always see who's responsible at a glance.

2. Sorting tasks

Click or tap the sort icon (a calendar sheet with arrows) on the far left of the filter bar. You can sort your list four ways:

  • Oldest first (default): the closest deadlines and overdue tasks appear at the top.
  • Newest first: the deadlines furthest away appear at the top.
  • Task name (A-Z): alphabetical.
  • Task name (Z-A): reverse alphabetical.

3. Using the filter bar

The filter bar sits above your main task list, with the same filter options on web and mobile. Selecting a filter opens a panel where you choose your options; on both platforms, your changes only take effect once you click Apply at the bottom of that panel.

Filter What it does
Due date Choose a preset — This week, Next week, Next 30 days, Past 3 months, No due date — or select Custom and use the calendar: your first click sets the start date, your second click sets the end date.
Status Check To do, Completed, or both, to show open tasks, finished ones, or an open view of both.
Created by A searchable list of network users who created tasks; select one or more and click Apply. The list only shows users who created a task in your view. If you search, you will see results for all users.
Assigned to Filter by Everyone (the entire network), specific Business Units, Local Departments, Groups (My Groups or All Groups), or individual People. This filter is grayed out inside views — like Assigned to me — where it wouldn't add anything, since the view itself already scopes the list to you.
Tags Search and select tags from your network, such as Christmas, KPI, or Financial. If you select 2 tags, you will see matches with one of the two – or both – applied.

Searching within the Assigned to filter: typing a search term opens a global search screen with tabs for People, Groups, and Business Units. An ambiguous term like "Amsterdam" searches across all of them at once, so matches from every category show up together. Local Departments appear under a general "Departments" tab rather than nested under their parent Business Unit.

If a filter can't be combined with your current view, the web app shows a tip explaining why, while on mobile it just won’t show up.

4. Your filters and view are remembered

Speakap saves the view and filters you last used. If you apply filters — for example, Next 30 days inside Created by me — and then close your browser tab, switch apps, or refresh, your exact view, filters, and (on web) URL come back exactly as you left them next time you open Tasks.

5. Clearing active filters

As soon as you change any filter away from its default, a Clear filters button lights up on the right side of the top bar. On mobile, you can find the button by scrolling horizontally to the end of the filter bar. 

Click Clear filters to remove all filters at once and return to the full list view. Or use the Clear option inside an individual filter panel to drop just that one filter while keeping the others active.

Frequently asked questions

Why don't my filters seem to apply?

You need to click Apply at the bottom of the filter panel for your selection to take effect — this applies on both web and mobile.

Why is the Assigned to filter grayed out?

It's disabled in views that already scope the list to you, such as Assigned to me, since filtering by assignee wouldn't change anything there. Switch to All tasks to use it.

Will I lose my filters if I close the app or refresh the page?

On web the answe is no, while for mobile it is yes. On web, Speakap remembers your last view and filter selection, where they're reflected in the URL, so they're restored automatically next time. On mobile, by changing sections you will luse your selected filters.
