How to Create an Event

Summary: Organizing company gatherings, training sessions, or team outings is easy with Speakap Events. This guide walks you through creating an event, choosing between public and private visibility, formatting the description, and publishing from desktop or mobile.

1. Starting a new event

Before the event composer opens, you choose how you want to invite your colleagues.

  • On desktop: go to the Events homepage from the left-side menu, then click the + (plus) sign at the top right corner of the left-side panel.
  • On mobile: tap the + (plus) sign directly on your Feed, or go to the Events homepage via the main menu and tap the + (plus) sign in the top right corner.

Choose your event type

  • Private event: best for individual invites. When selected, you are the only one invited by default, and you add your colleagues one by one.
  • Public event: best for group invites. When selected, the audience defaults to Everyone (the entire network), but you can narrow this down to specific groups, business units, or departments in the next step. (Note: on mobile, creating a new item directly from the Events menu defaults to a Public event.)

2. Filling in the event details

Once your event type is selected, the event composer pops up. Fill in the details from top to bottom:

  • Cover image: give your event a visual identity. Click or tap the cover image placeholder to upload a file from your device. The image must be 474x158 pixels. For more on cover images and attachments, see Cover Image, Pictures & Files in Events.
  • Audience: review and adjust your target audience before posting.
  • Title (mandatory): give your event a clear, descriptive name. Important: the Publish (desktop) or Post (mobile) button stays grayed out until you type in a title. All other fields are optional.
  • Location: be specific! Name an exact meeting room, store location, site facility, or restaurant.
  • Date and time: select the calendar date and the start and end times so your invitees can plan accordingly.

3. Formatting the description and adding media

Use the description field to explain the purpose of the event, add an agenda, or mention the dress code. You have full access to rich text formatting:

  • Text styling: use bold, italics, and underline to emphasize key details.
  • Lists: create bulleted or numbered lists (with indentation support on desktop).
  • Links and attachments: link text to external websites, or attach reference images, videos, and supporting documents (like PDFs).

4. Publishing or discarding your event

Review your text carefully before finalizing. Speakap Events do not support saving drafts.

  • To publish:
  • On desktop: click the Publish button in the bottom right corner.
  • On mobile: tap the Post button in the top right corner.
  • To discard:
  • On desktop: click the Discard button.
  • On mobile: tap the back arrow in the top left corner.

Warning: if you discard or exit the composer midway, your progress will not be saved and the event details will be permanently deleted.
