Notifications: Overview and Settings

Summary: This is your starting point for notifications in Speakap. It explains how push, desktop and email notifications work, which ones are on by default, and where to go to change or fix them.

The three notification channels

For notifications to reach you, three layers need to agree: your device, your browser permissions, and your Speakap settings. Speakap sends notifications through three channels:

  1. Push notifications: alerts on the lock screen of your iOS or Android phone.
  2. Desktop notifications: pop-up banners in your web browser on a laptop or desktop computer.
  3. Email notifications: alerts delivered to your work or personal email inbox.

App Alerts: the red badges

On top of these channels, Speakap shows App Alerts: the red bubbles with numbers on the app icon and menu tabs. These badges always show how much unread content is waiting for you. They appear no matter how you set up your notifications, and they cannot be turned off.

What you can get notified about

You can turn push, desktop and email notifications on or off for each of these:

  • Feed and organization updates: new posts on your profile page, on the main network Feed, or in your Business Units, Departments and Groups.
  • Direct interaction: private messages, or a colleague tagging or naming you in a comment or post.
  • Comments: new replies to an update you posted, or new comments in a conversation you joined.
  • News and Events: new News items published in the network, event invitations, and changes to an event you are attending.
  • Group management: invitations to join a group, approval or rejection of your group requests, and being added to or removed from a group. Group Managers also get an alert when someone requests access to their group.
  • Polls: a new poll, or changes to a poll you follow.
  • Tasks and Journeys: new tasks assigned to you or your groups, and a new Journey made available to you.

What is on by default

When your account is first created, these notifications are switched on. You can turn them off at any time:

  • Email: new News items in the network.
  • Desktop: new updates on the network Feed, new replies to comments under your updates, and new replies in conversations where you commented.
  • Mobile: all push notifications on your iOS or Android phone.

Changing your settings

Do Not Disturb

Need focus time, or winding down after a shift? Turn on Do Not Disturb via the bell icon in your avatar menu, or schedule it daily under Personal Settings > Notifications > Do not disturb

Muting a single post or conversation

Is one update or News item generating a flood of comments? Or do you want to follow one important conversation closely? Open the options menu on that specific post and toggle notifications on or off for that conversation alone. Your other settings stay untouched.

Troubleshooting tips

If your Speakap settings look right but push or desktop banners still do not arrive, check the permissions on your device or in your browser:

A few more things that help:

  • The Speakap app has a built-in check for your push notification setup. You will find it at the bottom of the Notification Settings page in the iOS and Android app. See Using Push Notifications Diagnostics on Mobile Apps.
  • Check that your phone is not running an aggressive battery saver or restricting background data for the app.

  • If all else fails, completely uninstall and reinstall the Speakap app. This forces your phone to register a fresh notification token with our servers.

Frequently asked questions

Can I recover push notifications that were blocked while Do Not Disturb was on?

No. Notifications sent during a Do Not Disturb window are not cached or delayed; they are permanently dropped. You can catch up on what you missed by opening the app and checking the red badge counters.

Why do I still see red number bubbles on my app icon after turning off notifications?

Those badges are App Alerts, not regular notifications. They are built into the app so you never lose track of unread messages and action items, and they cannot be turned off in the settings.

How do I stop alerts from one busy group without muting everything else?

Open that group's page and turn off notifications in its options menu. Your other notifications stay active. The full steps are in Customizing Group and Department Notification Settings.

What if reinstalling the app does not fix my missing notifications?

Check that your phone is not running an aggressive battery saver or restricting background data. If the problem continues, follow the checklist in Troubleshooting: When Push Notifications Are Not Working and contact us if you are still stuck.
