Summary: Tasks help you and your team keep track of to-dos in Speakap, whether they are assigned to you, to your group, or created by you for others. This overview shows you where to find your tasks, how to read the task list and task details, and how to comment on tasks. It also points you to detailed guides for creating, completing, filtering, and tagging tasks.
1. Opening your Tasks homepage
Tasks put your daily objectives right in the palm of your hand, so frontline employees never lose track of their work and team leaders stay informed.
- On desktop: click Tasks in the left-side navigation menu.
- On mobile: tap the main menu panel in the bottom right corner, then select Tasks.
2. Your task list
The Tasks homepage shows one unified list of all to-dos that are relevant to you: tasks assigned to you, tasks assigned to your groups, and tasks you created.
- Quick completion: every task has a checkbox next to its title, so you can mark it as complete straight from the list without opening it. For everything about completing tasks, including the handy Undo option, see Completing a Task.
- Status badges: color-coded text shows at a glance whether a task is Open, Closed, or Overdue, along with its due date and tags.
3. Viewing task details
Click or tap any task in your list to open the detail pane. It contains all the context you need to get the work done:
- Task name and status: at the top of the pane.
- The creator: the name and avatar of the person who created the task.
- The assignee: the person, group, or department the task is assigned to.
- Progress tracker: for tasks assigned to a group or multiple people, a completion fraction (for example 0/1) shows exactly how many assignees have finished.
- Due date: the deadline and time, highlighted in red if the task is overdue.
- Tags: color-coded labels used for grouping and categorization. See Using Tags in Tasks.
- Description: the instructions, with rich text formatting.
- Media attachments: any attached files, documents, or images.
- Comment section: at the bottom of the pane.
4. Finding tasks with filters and sorting
Because everything lives in one list, the filter bar at the top of your homepage is your main tool for organizing your workload. You can filter by status, assignee, creator, due date, and tags, and sort the list the way you like. For the full walkthrough, see Filters and Sorting in Tasks.
5. Commenting and collaborating
The comment section at the bottom of the task detail pane lets you give feedback directly on the task.
- Adding a comment: type your message in the text field at the bottom and click or tap Post.
- Attachments: add files to your comment by clicking the paperclip icon in the bottom left corner of the text box.
- Editing or deleting: click the three dots (...) in the top right corner of your comment to edit or delete it.
- Edits: edited comments show a visual indication and a new timestamp.
- Deletions: a deleted comment leaves an empty placeholder bubble stating: "This comment is no longer available".
- Replying in threads: to reply to a colleague, click the speech bubble icon under their comment. This opens a "Write a reply..." box and automatically mentions the original commenter so they get notified.
6. Managing a task
Open the options menu (three-dot icon) in the upper right corner of the task detail pane. From here, creators and authorized admins can choose Edit task, Duplicate task, or Delete task.
