Summary: This is your starting point for user management in Speakap. As a Network Administrator, you'll learn where to find your user list, how to invite internal and external users, how to edit someone's role or groups, and where to go for invitations, exports, and delegated user management. Note: you can also automate user management with Speakap's User Sync.
1. Opening the user list
The Users page is your hub for day-to-day account administration. From here you can search for members, invite new colleagues, change roles and group memberships, or delete old accounts.
- Click your avatar in the top right corner of the screen and open Network settings.
- Select Users in the menu on the left.
2. Inviting internal and external users
You can invite new people from two places, and both routes work:
- Network settings > Users, then click the + Invite button at the top.
- Network settings > Invitations, then click the + Invite button.
Depending on how your network is set up, you can invite two types of users:
- Internal users: your own employees, from frontline staff to management.
- External users: third parties such as suppliers, delivery partners, contractors, or customers.
- Security tip: external users can be limited to specific groups. That way you can work with them on day-to-day tasks without exposing company-wide updates, news, or the colleague directory. For the full picture of what external users can and cannot do, see External Users: Overview and Management.

3. Editing existing user profiles
People change roles and switch departments, and their accounts should keep up. For any active user you can edit their network role, their group memberships, and their user type (switching between internal and external).
- Find the user in your user list.
- Click the gear wheel icon at the far right of their row.
- Select Edit and make your changes.

4. Managing pending invitations
Invitations that haven't been accepted yet can be tracked and managed from the same place. Here's where to find each action:
- Resend or cancel a single invitation
- Resend all invitations at once: only invitations older than 7 days are resent.
- Export the list of invitees to a CSV file
5. Delegating invitation permissions
You don't have to handle onboarding alone. You can delegate user management and invitations to local team leads or site managers, so they handle onboarding and offboarding within their own Business Units, Departments, or Groups.
