Chat and Private Messaging: Overview and Features

Summary: Speakap's chat gives you a smart, intuitive messaging experience across all devices. This guide covers where to find chat, what you can do with messages, how group chats work, search and attachments, and answers to common troubleshooting questions.

Where to find Chat

The chat is always within reach, but the access point depends on your device:

  • On desktop: Click the speech bubble icon in the right-hand corner of the top navigation bar.
  • On mobile: Tap the speech bubble icon in the bottom navigation bar.

What you can do with messages

These tools give you more control over your messaging experience:

  • Reply: Respond directly to specific messages so the context of the conversation is always clear.
  • React: Quickly express yourself with emoji reactions on individual messages.
  • Pin: Highlight key messages by pinning them to the top of the chat.
  • Edit: Fix typos and mistakes by editing your sent messages.
  • Delete: Clean up your chat history by removing unnecessary messages.
  • Polls: Quickly gather participant opinions with chat polls.
  • Profile cards: Click a user's name to open a profile card where you can view their full profile, mute notifications, leave the conversation, see contact details (email, phone, local time), and view shared media.

Group chats

Group conversations keep teams aligned. All network members (except external users) can create group chats and add or remove participants.

  • Group chat admins: You can appoint other people as admins of a group chat, and these admins can remove members. See How do I remove someone from a group conversation for the steps. The creator of the group and Network Administrators can also delete someone else's comment within the group chat.
  • Participant limits: You can add up to 99 users at a time. If you need a larger group, add them in multiple rounds. We recommend a maximum of 200 users per group chat to prevent delays in push notifications.
  • External users: External users can only take part in group chats or private messages with people who are in their specific Speakap Group.
  • Changing the name: Network Admins or the group creator can change the name on desktop and in the apps. Group names can be a maximum of 255 characters. For the full steps, see How to change the name of a group conversation.
  • Changing the image: Updating a group chat's image can currently only be done on the desktop version, by clicking Details and then the pencil icon next to the name.

Search and attachments

  • Attachment limit: The maximum file size for chat attachments is 100 MB per file. For larger files, use a cloud storage link (like Google Drive or OneDrive) or compress the file before sending.
  • Search by username: The search function does not include usernames due to technical limitations.
  • Search by channels: This searches through both conversation titles and message content. Channel search is only available on desktop web.
  • Search by messages: This filter focuses exclusively on the content of the text exchanged.

Frequently asked questions

I accidentally deleted a chat, now what?

Start a new conversation with the same user, and your entire history with them will reappear.

Why can't I use the chat on my company's WiFi or VPN?

This is likely a company firewall blocking the platform. Ask your IT department to whitelist all required Speakap domains. If the issue persists after whitelisting, email your full name, email address, and company name to support@speakap.com.

Why isn't the chat working on my phone?

Make sure you have updated to the newest version of the Speakap app via the App Store or Google Play Store. Sometimes restarting the app or logging out and back in resolves the issue. If the problem persists, contact support@speakap.com.

Can desktop, iOS, and Android users communicate seamlessly?

Yes, chat works across all platforms without restrictions, provided all users have updated to the latest app version.
